Create Resource-file

Resources-file are resources that are created as uploaded files to a resource.

Supported file formats are:

Images: jpg, png, jpeg, gif, svg, webp;
Microsoft Excel files: xls, xlsx, xlsm;
Microsoft Word and Visio files: doc, docx, vsd, vsdx;
Archives: zip, rar, 7z;
PDFs, e-books, and audio files: pdf, epub, mp3, aac;
Microsoft PowerPoint files: ppt, pptx, pps, ppsx;
OpenDocument files: odt, ods, odp, odg.

To create a new resource-file, on the Resources page, click the Add button and select the resource type - File:

After that, the new resource - file page creation will open:

The following fields and settings are available for each resource:

(1) - Title – the name of the resource, the field is mandatory.

(2) - Description – brief information about the Resource, which is displayed in the table with resources. The description can use emoticons and the
tag to jump to a new feed;

(3) - Type – File.
(4) - Categories - the ability to assign a resource to one or more categories in the Knowledge Base. More details: Resource Categories;
(5) - Access - defines the users who will have access to the resource in the Knowledge Base. To do this, the resource can be added to one or more previously created access groups. More details: Knowledge Base Management.

(6) - Select tag - if necessary, set a tag for the resource. You can select a tag from the already created ones in the drop-down list or by searching. More details: Tag management.
(7) - Authors by default, the user who created the resource is displayed. If necessary, you can change the author or add co-authors. More details: Content authors and co-authors
(8) - Uploaded file - you need to upload a file for the resource.

(9) - Change - the ability to upload another file.
(10) - Copy link - clicking the button will copy the link to the file.
(11) - Remove the uploaded file.
(12) - Allow downloading - if the setting is enabled, users will be able to download the resource - file.

(13) - Resource cover - the ability to upload a cover image instead of the standard one.

(14) - Image for task card - the ability to upload a cover image for the task-resource instead of the standard one.

(15) - Publish - by default, publication is disabled. Only published resources can be used in the Knowledge Base and for creating tasks.
(16) - Cancel - cancels changes that have not yet been saved. After clicking the "Save" button, it is impossible to cancel changes using this button.
(17) - Save the resource.


Audio file

Allowed formats: mp3, aac.

After uploading an audio file, an additional setting is displayed Autoplay. If the setting is enabled, the audio starts playing immediately after the user opens the resource.

Images

These are resources in the form of images in the following formats:

jpg, png, jpeg, gif, svg, webp.

File - pdf

A built-in viewer is used to view PDF files. When viewing such a resource, the system automatically remembers the page where the user stopped, allowing you to continue reading from the same place the next time you open it.

After uploading a PDF-file, the system will offer to convert it to a Presentation resource. For more information, see Presentation Resource.
To do this, click the Convert button.


File - epub

Epub is an e-book format. When you first open a resource, the book is fully loaded into the browser, which may take some time, but this is necessary to correctly save the progress of the resource. Thanks to this, the next time you open the resource, the user will be able to continue reading from the place where they left off.

When viewing an ePub resource from the Knowledge Base, progress is saved only in the browser's memory. For example, if you start reading on a computer, you will not be able to continue from the same place on your phone.

If the resource is assigned as a task, progress is saved in the system database, so you can continue reading from any device or browser.

Clicking the button (1) opens a side menu with navigation through the book's chapters:

You can switch to dark mode by pressing the button (2). The (3) button opens the book in full screen.

Archives:
zip, rar, 7z

MS Office files:
doc, docx, xls, xlsx, ppt, pptx, pps, ppsx

OpenDocument files:
odt, ods, odp, odg

MS Visio files:
vsd, vsdx

Uploaded doc/docx files can be converted to Page type resources, similar to PDF conversion.


File - ppt, pptx

Files of the ppt, pptx type can also be converted to a web presentation by analogy with pdf. However, videos, animations and links in the presentation will not work:
